
The Reformer Experience – Retreat Terms & Conditions

Welcome to The Reformer Experience. These Terms & Conditions outline the rules, policies, and expectations for anyone attending our retreats. Please read them carefully before booking, as they form the agreement between you (the participant) and us (the retreat organizers). By making a booking, you are confirming that you have read, understood, and agreed to these terms.
1. Booking & Payments
To secure your place at the retreat, a non-refundable deposit is required at the time of booking.
The remaining balance must be paid no later than 60 days before the start of the retreat.
If full payment is not received by the due date, your place may be cancelled and offered to someone else, and your deposit will be lost.
All payments must be made in the currency and method specified at the time of booking.
2. Cancellations & Refunds
Deposits are non-refundable under any circumstances.
If you need to cancel more than 60 days before the retreat, your booking may be transferred to another person of your choice.
If you cancel within 60 days of the retreat, no refund will be issued. However, if your place can be filled by another participant, we will refund the balance (excluding the deposit).
If we are forced to cancel the retreat due to unforeseen events (such as natural disasters, government restrictions, or other emergencies), you will be offered the option of rescheduling or receiving a credit toward a future retreat.
3. Travel & Insurance
Retreat prices do not include flights, airport transfers, or other travel expenses.
You are responsible for arranging your own transportation to and from the retreat location.
We strongly recommend that you purchase personal travel insurance to cover:
Medical care or emergencies
Trip cancellations or delays
Lost or stolen belongings
Any other unexpected events
Please ensure your travel insurance is valid for the full duration of your trip.
4. Health & Liability
Participation in all activities, including Reformer Pilates, excursions, and workshops, is at your own risk.
Please inform us of any injuries, medical conditions, allergies, or special needs before attending the retreat so that we can accommodate you as best as possible.
We will do our best to provide a safe environment, but we are not responsible for accidents, injuries, illness, or the loss/damage of personal property during the retreat.
It is your responsibility to listen to your body and participate only in activities that feel safe for you.
5. Changes to Program
Our retreats are carefully planned, but sometimes changes are necessary.
We reserve the right to adjust the schedule, teachers, classes, or activities if needed due to weather, availability, or other circumstances.
Any changes will be made with the intention of maintaining the quality and spirit of the retreat.
6. Reformer Hire (if applicable)
If you hire a reformer machine during your stay, it will be delivered in good working condition.
Please take care when using the equipment. Normal wear and tear is expected, but any damage caused by misuse or neglect may result in a deduction from your deposit or additional charges.
7. Agreement & Acceptance
By booking a place at The Reformer Experience Retreat, you agree to all of the above terms and conditions. These policies are designed to protect both participants and organizers, ensuring that everyone has a safe, enjoyable, and transformative experience.
